Text messages are becoming pervasive in the workplace. What advantage and disadvantages do text messages create in terms of clear, understandable, and actionable communication?
Advantages of texts messages in the workplace
Text messages are explicit and convey accurate information to the intended recipients. In case they feel confused, texts allow room for them to re-read the texts and understand the instructions. Secondly, a senior person may use text messages to delegate authority to junior employees as they have similar powers to written communication. The senior employee can thus show the text messages to the other employees indicating that indeed the authority rests with the subordinate. Without a written note or text, the delegation of duties and power is not likely to occur. A phone call cannot delegate authority. Text messages are efficient and faster than other forms of written communication. The employees, both senior and subordinate, can rely on text messages as they are unlikely to fail. Text messages are proper and direct to the point as there is no point in writing much unnecessary information. It is not likely for the data in a text message to be distorted as the info is almost permanent and cannot be altered once sent and delivered. Verification of text messages and their sources is more accessible as the chances of sharing telephone numbers are minimal. It is easy to present a complicated matter in such a way that the recipient understands the message efficiently and in an attractive manner.

Disadvantages of text messages at the workplace
The primary drawback for text messages is that they cannot be used for illiterate and blind persons. In this regard, illiteracy should cover not only the inability to read but also the aged population who are not well versed in the technological advancements. Text messages also lack secrecy as messages meant for a single person may be forwarded to the others thus diluting the secrecy sequence. Text messages may lose the objective of the communication when the language used by the sender is so complex for the recipient. The issue of bureaucratic attitude between the parties and a formality problem may arise.

Good grammar, spelling and correct punctuation are a natural means of creating a lasting impression especially in establishing the professional image. Poorly constructed sentences lacking punctuation or incorrectly punctuated or having misspelled words may make your audience lose any confidence in a professional. Secondly, correct punctuation, proper grammar and spelling create an excellent reputation for a professional owing to the accurate and precise messages delivered. If the language lacks these attributes, the intended audience will question the credibility and how trustworthy a professional is. A well-constructed sentence or a statement helps alleviate misunderstanding and miscommunication among professionals and clients. The confusion arises when a comment is incorrectly punctuated or misspelled. The intended party will be left to guess what message you were trying to put forth. A miscommunication may arise if they guess wrong. Correct sentences improve the effectiveness of communications between parties as they lack distractions. The errors make it harder to read and understand a message. Communication is vital for professionals and thus should always produce the required course of action and not lose the audience.
It is also good to correctly punctuate, spell and have good grammar to avoid costly lawsuits as a professional. A professional may convey some information with some mistakes leading to miscommunication which may misguide a client towards taking an alternative decision. The client may seek legal redress, and as a professional, the court may hold you accountable for negligence and the losses suffered as a result. Proper grammar attracts customers while the opposite repels clients as they do not trust quacks. Proper grammar, correct punctuation, and spellings are bound to increase the productivity in the workplace. As a professional waiting to work among others, the communication to trickle down or upwards should be understandable to all parties and conformity is expected.

The statement that “writers are born, not made” is false. In support of my argument is that any literate person can write. Writing a masterpiece, however, requires a genius and geniuses are born. Writing involves, whether in the conscious and the unconscious sense, repeating ideas and thus they are second hand. An artist crafts a masterpiece, and then the writers imitate what the genius crafted. Writing is an art learned by all and sundry although talent should be innate for it to be profound. Writing without talent is just writing, and it cannot compare to talented writing. Talented writing produces excellent results not seen before while the ordinary writer only imitates the original writer in the delivery of ideas. Writing is learned and perfected in schools using the available models of writing. An ingredient and corollary to writing are reading whereby one gets the means by which to critically engage the presented ideas and whether they connect to it.
For one to be a good writer, an active vocabulary is necessary. Building a strong vocabulary is achieved through a wide variety of resources and checking the meaning up in a dictionary. Additionally, one can check how they are used in sentences and how they may use them in writing their sentences. It is essential to have an extensive vocabulary as having it increases the chances of connecting a new word to an already known word. After reading, one should study the new words and review them regularly. For a useful review of words, the details about a new word should be kept in the same place for easy discussion. Some of the readings that include new words are novels and vocabulary wordbooks readily available in libraries.
