Abstract
The orientation of the New Employee at the SouthWood School is conducted whenever new employees are hired at the school. The new employees who have been recruited are expected to attend the New Employee Orientation on the first day. The orientation includes meetings with various representatives of the institution. The new employee will have meetings with Human Resource Managers, Finance Officer, IT representative, and the school administrator. The new employee is expected to attend these meetings because they are of great importance for them during the course of their work. Punctuality is emphasized. The New Employees are provided with locations and timeline for these meetings as well as agendas for the meetings.
Organizations use most of their valuable resources in the creation of strategies that are efficient and effective to be applied in recruitment, selection, and the hiring of the new employees so as to ensure that they have obtained the best of them all. After an organization has gotten the opportunity of selecting the candidates who are at the top, it is crucial for the new employees to be introduced effectively at the place of work. The new employees have to get acquainted with the values, culture, structure, colleagues, their new role as well as the expectations of the organization. PART II: Description of Each Meeting
The meetings that are held for the new employees are very important because they assist them in familiarizing with the environment and performing their tasks as expected. Further, they ensure that the employees are well informed on what is required of them as well as a clear description of duties and responsibilities of the employees. The meeting session also ensures that the new employees have gotten an opportunity to get acquainted with the colleagues at the institution. Forming of the first impression for the new employees will give them the courage to perform their roles diligently and meet the expectations of the employers. The impression that an environment is not welcoming tends to demotivate the New Employee and affect how they will perform the duties that will have been assigned to them.
Meeting with the Human Resource Representative
The meeting with the HR is of significance to the New Employee because they are the people who are responsible for the affairs involving the employees. Some of the activities that are conducted at the office of the HR are filling the ID for the new employee, complete other required paperwork like signing the employment contract, assigning of office tools, and I-9 Form completion. The HR ensures that the New Employee has completed the signing of the employment documents.
The signing of the agreement is very important for the employees to understand the terms of engagement. The new employees are expected to thoroughly read the agreement and sign. This opportunity given to the employees enable them to ask the HR questions concerning any clause in the agreement. If there are clauses that New Employees do not agree with, this is the right opportunity for them not to sign the agreement.
The HR will also be tasked with issuing New Employee identification card with all the required details for the as used accordance to the system used at the school. The completion of the I-9 for the new employees is done during this meeting with the new employees. There are various lessons that the employees will learn regarding the institution. The new employee will learn the terms of the job at this session as well as what is expected of them. This meeting is important because it introduces the new employee to the new school environment. Further, the new employees will learn issues such as the employee’s grievance process, new hire paperwork, performance evaluation, be given policy manual, and benefits entitled to the employees (Ibrahim, 2015).
Meeting with the Finance Officer at the School
The meeting of the New Employee with the Finance representative at the school will be essential in clarifying financial issues relating the New Employee. Some of the issues that are discussed at this point are in regards to the salary entitled to the new employee. The finance officer will also elucidate on the deductions that the new employee will be subjected to such as the PAYE, Health Insurance cover, Social security contributions, and other compensation benefits are given to the new employee.
The employee will have the opportunity to learn about the budget forms that they will be required to fill in a case of any expenditure at the place of work. The finance officer will also highlight on the budgeting process for the new employee to understand the process that budget go through. The finance officer will teach the new employee cost containment techniques that can be used as well as fund-raising initiatives that are carried out at the school.
The new employees learn matter concerning the compensation packages that are available. The information that the new employee gathers during this meeting is in regards to various awards that they may obtain based on the performance at the place of work. The new employees also learn about the importance of paying for this deduction. The meeting is important for the employees because opportunities for the negotiations of salaries may arise and this point and be accorded to them. The new employee will also get an opportunity to know the department that will be addressing matters relating salaries. The new employees will also gain understanding of the compensation system that is applied at the company which is imperative (Lawson, 2015).
Meeting with Information Technology Assistant
The meeting will take place at the Computer Center of the school where all matter related to IT are handled. The new employees will be enlightened on the available online resources that will be available for them at the school. The representative will help the new employee in setting up account and password for the user accounts for all employees at the institution. The new employee will also be provided with access codes for various resources that are entrusted to the employees. The new employees will have the opportunity to learn information technology policies used at the institution. The representative will also enlighten the new employee on the computer assignments and responsibilities at the place of work. The representative will also show them wireless printing and the confidentiality statements to be applied appropriately. These issues are paramount to the new employee, so the meeting is of great importance (Oke, 2016).
Meeting with the School Administrator
The meeting with the school administrator will help in clarifying important aspects that the New Employee will be required to observe. Reviewing of the departmental handbook will be important as well as brief history of the department. The new employee will also be informed on the organizational chart of the department. Then administrator will highlight the expectations of the supervisors as well as the performance goals to be met. The new employee will be informed of the cultural values upheld at the institution and the rules that are to have adhered at the office. The administrator will talk about how new employees should present leave requests for sick leave, maternity leave, and study leave among others. Finally, the administrator will give the new employees contact information and inform them on the matters regarding access to office and other buildings at the school. This meeting is important because it gives the New Employee a go ahead to work and observe the rules as expected (Mathis, 2016).
