Information management is essential in the medical care field. It involves storing and tracking the crucial information from the patients that is essential for making decisions regarding the most appropriate medications or advice to offer to the patients. However, the monitoring of the information management procedures might become so difficult due to the ongoing legislative and policy changes related to Health Information Management. Thus, the manager concerned with health information have to ensure that the following are put under their consideration.
There should be an agreement between the hospital and the patients (among the participants) in the activities relating to data exchange. This must be properly followed to ensure that the protected information can be accessed by only authorized users in the institution. This can go beyond what is provided by the technology when it comes to the security of the date after leaving the original entity. This concept is among the core regulations of the HIPAA (Agency for Healthcare Research and Quality, n.d). The standardization of such types of practices including the technology serves as an additional way of assuring participants regarding their expectations on the privacy and security are met.

Furthermore, the major emphasis should be put on security or privacy concerns of patients’ data. It is essential to maintain the trust of the people or patients in an institution most especially from the patients. The major consideration must be placed to enable medical work personnel such as nurses, doctors, and others to have access to the data whenever they need to such that they are able to make the right decisions. Strong accountability should be enforced to the staff of the hospital to ensure that their data is shared in a professional way (AHIMA, n.d). However, these should be granted permission to transfer the information to the third parties that are not authorized.

Entering into agreements among the parties involved can be achieved through signing negotiations on the terms and conditions that will be governing the use of their data which is essential in enhancing accessibility to patients’ data by the authorized medical personnel. Whereas, building strong security and privacy on the data can be well maintained through building strong technologies that are not vulnerable to hackers, setting strong punishments to the staff who transfer data to the third parties without permission from superiors among others.
